Primary Purpose

Provide specialized clerical and data management support to the Special Education Department by ensuring accurate, timely, and compliant entry, maintenance, verification, and reporting of special education student data, including IEP information, evaluation timelines, service delivery records, and State Performance Plan (SPP) indicators, in accordance with IDEA, Texas Education Agency (TEA) requirements, and district internal controls. Maintain audit-ready documentation to support compliance monitoring, dispute resolution, and federal and state reporting.

Qualifications

Education/Certification

  • High school diploma or GED
Experience
  • Two (2) or more years of clerical, data-entry, or records management experience preferred
  • Prior experience with special education student information systems or IEP software preferred
Special Knowledge and Skills
  • Working knowledge of special education processes, timelines, and documentation requirements
  • Familiarity with IEP data systems (e.g., eSped, Frontline, PowerSchool Special Programs, or similar platforms) preferred
  • Understanding of IDEA compliance timelines and State Performance Plan (SPP) indicators preferred
  • High degree of accuracy in data entry, verification, and reconciliation
  • Ability to maintain confidentiality in compliance with FERPA and IDEA
  • Proficiency in spreadsheets, databases, and electronic file management
  • Strong organizational skills, attention to detail, and ability to meet firm reporting deadlines
  • Effective written and verbal communication skills
Major Responsibilities and Duties

Special Education Data Management & IEP Systems
  • Enter, update, and maintain student data within the district's special education student management system, including IEPs, evaluations, eligibility, services, and progress monitoring records
  • Ensure IEP data accurately reflects committee decisions, service minutes, placement, and accommodations as documented in official ARD/IEP records
  • Maintain organized, secure electronic and paper files for special education records in accordance with district retention schedules
Compliance, Reporting, and Audit Readiness
  • Monitor and track IDEA timelines (evaluations, reevaluations, IEPs, progress reporting) and notify appropriate staff of approaching or missed deadlines
  • Collect, verify, and maintain data used for State Performance Plan (SPP) indicators, including but not limited to Indicators 4, 8, 11, 12, and 13
  • Support district special education reporting requirements, including PEIMS special education data elements, discipline data, and federal/state submissions
  • Maintain audit-ready documentation to support TEA monitoring, data validations, due process, and complaint investigations
  • Reconcile special education data across systems (IEP system, student information system, PEIMS) to ensure accuracy, consistency, and completeness
Internal Controls and Data Integrity
  • Follow established district procedures to support internal controls related to data entry, review, correction, and approval
  • Identify data discrepancies or compliance risks and communicate concerns to supervisors promptly
  • Assist with correction cycles and documentation updates within required TEA and district timelines
Administrative & Departmental Support
  • Prepare reports, spreadsheets, correspondence, and compliance documentation for the Special Education Department
  • Support scheduling and documentation for ARD meetings, evaluations, and compliance reviews as assigned
  • Respond to staff and administrator inquiries related to special education data and documentation within established guidelines
  • Support the office of the Director of Special Education and district special education staff as directed
Professional Responsibilities
  • Maintain strict confidentiality of student and personnel information
  • Participate in required training related to special education compliance, data systems, and reporting
  • Comply with all Pilot Point ISD policies, procedures, and safety protocols
  • Perform other duties as assigned by the supervisor
