Position Requirements

SUMMARY

The Senior Proposal Coordinator leads the proposal and pursuit strategy, collaborating with leadership, technical, operations, business development, and marketing team members to deliver exceptional professional marketing services in response to formal Request for Qualifications (RFQ) and Request for Proposal (RFP) opportunities from key clients. This position translates technical information into clear and compelling written and visual content that captures client interest and differentiates HEAPY from competitors, ultimately translating into more projects won and sales for the firm.

The Senior Proposal Coordinator will have 7 plus years of experience and leads the proposal pursuit process for standard proposals, as well as sometimes leading more complex pursuits for larger projects, for which they may require occasional direction and correction in several aspects of work.

QUALIFICATIONS

Typically, a Senior Proposal Coordinator at HEAPY possess at least an associate degree, preferably in business, PR, marketing, communications, public relations, journalism, graphic design/visual communications, or similar disciplines. The Senior Proposal Coordinator has 7 plus years of experience in B2B marketing functions and is able to translate technical information into clear and compelling themes to win work.

To be successful in this role the Senior Proposal Coordinator needs to be strategic, highly organized, deadline-focused, and detail-oriented with a strong sense of accountability and proactive ownership of assigned proposal tasks to meet submission requirements across multiple concurrent deadlines. Coordinating with subconsultants and teaming partners, working with teaming agreements and compliance matrices, and extracting necessary information from technical subject matter experts are essential skills. Understanding of QA/QC processes for proposal deliverables is also required. Experience with both public and private sector pursuits is preferred. Proposal coordinators must possess excellent technical writing skills, an appreciation for visual design and style, and the ability to communicate effectively with technical team members to ensure a collaborative and strategic approach to proposal development.

The Senior Proposal Coordinator should understand market research methods, copyright laws, and a variety of marketing tactics and strategies. Incumbents have familiarity with the unique aspects of the pursuit process in the Architecture, Engineering, and Construction (A|E|C) industry.

This colleague is proficient in most of the following: CRM software (e.g., Unanet, Salesforce, Deltek), Digital Asset Management software (e.g., OpenAsset), Adobe Creative Cloud (particularly InDesign), Microsoft Office (particularly Word, PowerPoint), and virtual meeting technology, with a strong interest in learning new tools, technologies and approaches to improve efficiency and effectiveness in marketing processes.

PREFERRED QUALIFICATIONS
  • Bachelor's degree in business, PR, marketing, communications, journalism, graphic design or similar disciplines.
  • Certified Professional Services Marketer (CPSM) or APMP Proposal Certification
  • Familiarity with and experience in the Architecture, Engineering, and Construction (A|E|C) industry.
  • Experience with federal procurement processes, particularly SF330 forms and government RFP/RFQ requirements
DUTIES & RESPONSIBILITIES
  • Maintains clear knowledge of HEAPY Corporate Vision, Mission, and Core Values and demonstrates awareness of how those objectives relate to all position responsibilities. Approaches all assigned tasks as an opportunity for growth and experience, modeling the way for other team members.
  • Collaborates with cross-disciplinary teams to develop and execute HEAPY's proposal and pursuit strategies, leading the RFQ/RFP response process from kickoff through submission while upholding the firm's vision and core values.
  • Supports the proposal process by reviewing and evaluating RFQ/RFP opportunities; participating in kickoff meetings for pursuits; ensuring assignments are completed on time; creating written content and graphics for submittals; providing review and quality assurance for submittals to ensure proposal requirements are being met.
  • Follows proper closeout processes and ensures data quality and information retention through appropriate file keeping, CRM data management, Digital Asset Management, and appropriate file and document keeping.
  • Maintains branded template integrity and adherence to copyright laws. Continuously proofreads, scans, and edits marketing output to ensure all content accurately and consistently reflects HEAPY's brand.
  • Generates data for team reports on key performance indicators and metrics to support decision making; integrates results into strategic marking recommendations.
  • Creates strategic, compelling content that positions HEAPY competitively and identifies opportunities to improve proposal processes and outcomes.
  • Develops and maintains proposal content libraries, including project descriptions, team bios, and capability statements
  • Conducts quality control reviews to ensure technical accuracy, brand consistency, and RFP compliance
PHYSICAL DEMANDS AND WORK ENVIRONMENT
  • Ability to be sedentary at desk for periods of time while operating keyboard and mouse and using a computer screen.
  • Ability to discern patterns, colors, shading, shapes, and spacing.
  • Ability to communicate effectively in person, in writing, and via phone with other individuals.
  • Ability to move, transport, or position items weighing up to 25 lbs.
  • Possess reliable transportation to report to office and/or events and team activities.
  • Ability to gather, organize, and evaluate information related to marketing needs.
