DUTIES AND RESPONSIBILITIES:

  • Provide support and serving as the main point of contact for corporate visitors and VIPs. Schedules and coordinate meeting requests, phone conferences and appointments.
  • Compiles and maintains accurate and complete records, phone organization charts, and reports. Establishes and maintains effective working relationships with team members, representatives from all levels of management, department heads and business professionals.
  • Maintain and update Denison Calendar, information displayed on the Redzone TVs and the plant bulletin board. Assures highest standard of communication comes from the Denison plant.
  • Maintain and organize office and storage areas, manage room renovations, and moves, purchasing and scheduling installation of office furniture, fixtures, painting, and other improvement.
  • Decorate common areas, maintain bulletin boards of TM announcements and photos, post photos and media article of recent plant celebrations and events to strengthen TM pride in their workplace.
  • Responsible for the ordering and replenishment of office forms and supplies. Manage good relationships with vendors, investigate and implement cost savings.
  • Act as liaison for vendor TMs, and work with current and additional vendors getting quotes, requesting POs, receiving invoices, and reconciling outstanding receipts, and process reoccurring monthly invoices.
  • Administrative duties pertaining to "Ruiz 4 Kids" and all Denison Community Relations.
  • Serve as active board member, attend annual board meeting in CA, annual golf tournament in CA. Raise funds from local vendors to support golf tournament which funds scholarship program.
  • Lead and participate Denison Community Relations events, and meeting to fulfill Ruiz Foods' commitment to giving back to the communities where TMs work and live. Schedule Denison committee meetings to review donation/sponsorship requests, discuss decisions with corporate committee, advise requestor of outcome, process donation checks, maintain budget tracking.
  • Effective oral and written communication to all levels of TMs in all aspects of plant functions across all Ruiz facilities. Prepare, email, and post clear details on plant activities, events, and announcements to keep all informed.
  • Manage Employee Product Purchase Sales including create, record, email, post flyers and pickup info. Record product picked up and report amount to payroll to be deducted from TM's pay.
  • Makes travel arrangements including reservations, interview scheduling, and process travel invoices and candidate reimbursements.
  • Direct facilities employee by creating work orders for repairs and scheduling daily tasks. Neatness, Cleanliness, Adherence to company policies. Oversight partnership with Maintenance manager.
  • Foster positive employee relations by creating activities to keep TMs engaged and in good morale. Coordinate TM lunches, contests, giveaways, food trucks, and plant wide logo sales. Lead TM appreciation events.
  • Lead all Denison plant events such as employee logo sales, Christmas Dinner/gift, Pink Out Day, Turkeys/ham distribution, service Award, Birthday club, ABCD Awards and organize plant item drives for additional TM community involvement such as back to school supply drives, blood drives, canned food drives and other community relations.
  • Work with Ruiz Foods PR Department with photos, videos and media coverage relating to Community Relations donations and sponsorships, Ruiz Cares volunteer activities and Ruiz 4 Kids mini grants and scholarships. Maintain history of all Ruiz Foods Denison community events and plant events media coverage.
  • Facilitate Ruiz Cares volunteer activities. Communicate to TMs upcoming community volunteer opportunities. Track volunteer hours and hold TM Appreciation to encourage further volunteerism.
  • Receive daily mail, sorts, and distribute to correct person within department. Create all marketing, flyers, banners for events.
  • Acts as a positive example of Ruiz Foods mission, culture, and philosophy, and other duties as assigned.

EDUCATION and/or EXPERIENCE

Bachelor's degree in business administration, office management or related field preferred, an associate degree (A. A.) and five years related experience or equivalent combination of education and experience.

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
  • 5+ years' experience performing administrative duties.
  • Must handle sensitive and confidential information in a professional manner.
  • Must have excellent computer skills (Microsoft Word, Excel, Outlook, and PowerPoint).
  • Strong written and verbal communication skills and must be able to effectively communicate with all levels of personnel, including effective email communication.
  • Excellent organizational and time management skills.
  • Keen attention to detail.
  • Strong problem-solving and troubleshooting skills and be able to make decisions within scope of job.
  • Excellent knowledge of English, grammar, punctuation, spelling style, etc.
  • Must show initiative and must be able to perform with minimal supervision.
  • Must project a positive and professional image.
  • Preferably bilingual
